A few good questions

Before we
head out.

The essentials for the planning conversation. Your individual proposal and booking documents will confirm the details for your departure.

Planning your expedition

Start here.

Is this a new experience, and when can we book?

Yes. Appalachian Executive Expedition is a new executive retreat experience, and we are now accepting bookings for Fall 2027. Start by submitting an inquiry with your group size and preferred dates. We will work through availability, your expedition proposal, and booking arrangements with you. Submitting an inquiry alone does not reserve a departure or confirm a booking.

When is our trip private, and can smaller groups join?

Your trip is private to your group when at least 10 guests attend. Groups with fewer than 10 attending guests may be paired with another group. Smaller groups are welcome to inquire; the 10-guest minimum is for a private trip, not a minimum to attend. Group arrangements are confirmed during planning.

How many people can join?

Tell us your expected group size—even when it is still approximate. We assess the fleet, camp configuration, guide arrangement, and itinerary before confirming capacity. Trips are private for groups of 10 or more attending guests; groups with fewer than 10 may be paired with another group.

How long is an expedition?

Our sample format is four days. Trip length and the daily balance of riding, camp, dining, and downtime can be discussed around your group. The sample itinerary is an illustration, not a fixed package.

What does it cost?

Pricing is provided in a tailored proposal. It depends on group size, duration, equipment, hospitality, transportation, and the arrangements for your departure. Share a budget range during planning when helpful; no payment is required to send an inquiry.

Does submitting an inquiry reserve a trip?

No. An inquiry starts a conversation. Dates, access, availability, inclusions, pricing, and booking terms must be confirmed before a departure is reserved.

Where do we meet, and is transportation included?

Planning begins around Shepherdstown, West Virginia, and the surrounding Appalachian region. The meeting point, parking, transfers, arrival timing, and any included transportation are specified in your proposal. Airport service is not assumed to be included.

and the practical details.

Do guests need UTV experience or a driver's license?

Tell us about your group's experience and who wants to drive or ride as a passenger. We will review the appropriate orientation and applicable driver eligibility, licensing, age, rental, and insurance requirements before confirming your departure.

Are all the places pictured part of the route?

No. Photographs on this site provide authentic regional inspiration. A scenic location may not allow UTV access and may not be on your itinerary. We do not represent hiking trails, overlooks, or national-park roads as approved riding routes.

What is the camp like?

The planned format features canvas guest tents, raised bedding, warm lighting, and shared hospitality spaces. Camp bathrooms and shower facilities are shared by guests; each person or tent does not have a dedicated bathroom. Tent occupancy, facilities, charging, and camp movement are confirmed in your proposal. This is an outdoor experience, not a conventional hotel.

Can dietary restrictions be accommodated?

Please raise dietary requirements during planning. We will discuss what the proposed menu and mobile kitchen can accommodate before confirming arrangements. We do not promise an allergen-free environment; detailed requirements should be handled directly rather than entered into the initial inquiry form.

What happens in bad weather or if we need to cancel?

Outdoor conditions can affect riding and camp. Weather procedures, itinerary changes, cancellation, refund, and rescheduling terms will be set out in the booking documents. We do not promise that every activity can operate in every condition.

What is included, and what should guests bring?

Your proposal identifies the actual vehicles, guide support, camp, meals, transfers, and other inclusions. A pre-trip briefing will explain clothing, footwear, personal items, protective equipment, and any guest responsibilities. Do not assume an item is included unless it is specified.
